Job Summary / Organizational Impact

The Data Entry Specialist is a vital part of the project management and sales process. They are responsible for accurately entering, updating, and maintaining project-related data in the ERP system. This role supports the Project Manager by ensuring data integrity and facilitating efficient communication between departments. Effective performance in this job will enhance the overall operational efficiency and accuracy of the company’s project execution.

Responsibilities and essential functions

1. Work with Project Manager and Engineering during design review to determine accurate part information to add new part information into our ERP and project management software.
2. Assist in preparing initial information needed for Request for Quotation
3. Compile and set-up part information provided by Project Manager and Customer to update ERP system during project kick-off
4. Enter Tooling and Purchase Order from customer for new part. Help communicate any discrepancies in Tooling and POs.
5. Generate Purchase Orders to help Project Managers kick-off new projects
6. Ensure all data entries are accurate and up-to-date for the part information.
7. Set up new customer-requested vendors in the ERP system.
8. Set up new customers in the ERP system.
9. Perform related responsibilities as required or as needed.

Desired Qualifications

Knowledge and Skill

• Proficient in MS Excel, Word, and Outlook

• Excellent data entry skills with a high level of accuracy.
• Must possess exceptional interpersonal and communication skills.

• Strong organizational skills and attention to detail.

• Ability to multi-task and prioritize work in a fast-paced environment.

Education/Experience

• High school diploma or equivalent required

• Previous experience in data entry or administrative roles preferred.

• Familiarity with ERP systems and manufacturing processes is a plus.
